Get around a project

The project sidebar tabs and the cards on a project's Home page.

Who can do this: Everyone who can open the project. Field/shop workers can open only the projects they are scheduled for in the calendar.

When you open a project from the Projects page, it opens on its Proposals tab. A sidebar on the left takes you to every other part of the project.

Use the project sidebar

At the top of the sidebar is the project name. Under it you see:

  • The site address.
  • The project status. See Project statuses.
  • The customer's name, taken from the project's contacts. BidUnity shows the general contractor (the company running the whole job) first, then the owner, then the first company in alphabetical order.

To jump to another project, click the project name. The menu lists your Recent projects & proposals, with each project's recent proposals under it.

The sidebar has these tabs:

TabWhat it holds
HomeA summary of the whole project. See Read the Home page below.
ProposalsThe project's proposals. See Proposals.
FilesDrawings, specs and other documents. See Manage project files.
PhotosJobsite photos. This tab is in Beta. See Add project photos.
NotesNotes and replies from your team. See Add project notes.
ReportsField reports from the jobsite. See Write field reports.
ScheduleScheduled work for this project. See Schedule project work.
ContactsThe companies and people on the job. See Manage project contacts.
TermsThe contract terms. See Set up contract terms.
Change ordersChanges to the contract scope and price. See Manage change orders.
BillingThe schedule of values and applications for payment. See Set up the schedule of values.
ProcurementMaterial requests, vendor quotes and purchase orders. See Procurement.
TasksTasks for this project. See Find your tasks.

Field/shop workers don't see the Terms, Change orders and Billing tabs, because those tabs show the contract's money. If they follow a link to one of those pages, they see Access denied. They can still use every other tab, including Proposals and Procurement.

While you're on Proposals, the sidebar also lists the project's proposals by name, so you can jump between them. Rejected proposals are left out. When there are more than 10, a link at the end opens the full list.

You can collapse the sidebar to icons to get more room.

Read the Home page

  1. Open the project.
  2. Click Home in the sidebar.

The top of the page shows the project status, who created the project and when, and the site address. The page then shows these cards.

Proposal overview

Shows the proposal that matters most right now. Once the project has contract terms, that's usually the proposal the contract is built from. Before that, it's usually the furthest-along finalized proposal, or the newest proposal if none is finalized. Rejected proposals are never shown here. The card shows its number, status, cost basis, proposed value, margin and total with tax.

  • Click Open proposal to open it.
  • Click New proposal to start another one. See Create a proposal.
  • Click View all proposals to see the full list. Next to it is a count of the project's proposals by status.

If the project has no proposals yet, or only rejected ones, the card says so and offers New proposal.

Recent activity

What changed in the last seven days, for example photos added, files uploaded, proposals created, notes added and tasks completed. Click a line to go to that tab.

Tasks

Counts of overdue, open and recently completed tasks. Click a count to see those tasks. On this card, Field/shop workers see only their own tasks. Everyone else sees all of the project's tasks.

Recent notes

The latest notes and report updates from the last seven days. A note with images but no text shows as "Added 1 photo", "Added 3 photos" and so on. Click Open notes to see them all.

Upcoming schedule

Events scheduled for the project in the next seven days. Field/shop workers see only their own events. Click Open schedule to see the full schedule.

Contract & billing

Shows the contract status and how billing is going, once the project has contract terms:

  • The contract value, and how much has been billed, paid and is left to bill.
  • The latest bill and the next billing date. A bill here is an application for payment (the request you send the customer for work done so far).
  • Money still owed, and change orders that are ready to bill or still need review. A change order is an approved change to the contract's scope, price or schedule.
  • The contract's key dates, such as the scheduled start and completion.
  • Follow-up items, such as setting up the schedule of values (the list of the job's parts and their values that you bill against).

Click Open billing to go to the Billing tab. If the project has no contract terms yet, the card says so and offers Open billing.

Field/shop workers see a shorter card, marked Milestones only. It shows the contract status, how many bills there are, whether the schedule of values still needs setting up, and the contract's key dates. They don't see the contract value or any dollar amounts, and the card has no Open billing button for them.

Procurement

What needs follow-up on material requests (requisitions) and purchase orders. Click Needs action, Awaiting PO, Issued POs or Delivery risks to see those items, or Open procurement to go to the tab.
