Manage project contacts

Add, edit and remove the people and companies on a project.

Who can do this: Anyone who can open the project.

The Contacts tab lists the companies on a job, such as the owner, the architect and the general contractor (the company running the whole job), and the people you deal with at each one. BidUnity calls each company an entity.

The table shows each entity's Type, its details under Entity, and its people under Contacts.

Add a company and its people

  1. Open the project and click Contacts in the sidebar.
  2. Click Add contact.
  3. Under Entity info, pick the company's Project role: Owner, Architect, Engineer, General Contractor, Sub Contractor or Other.
  4. Enter the Entity name. It's required. You can also add the Website, Email, Phone, Fax and address.
  5. Under People, click Add person for each person you want to list. For each one:
    • Pick their Project role: Billing Contact, Project Manager, Site Contact or Other. It's required.
    • Pick a Title if you want one, such as Project manager, Superintendent or Foreman.
    • Enter their Name. It's required.
    • Add their Email, Cell phone and Office phone if you have them.
  6. Click Add contact.

To take a person off before you save, click Remove next to them.

Add a company you've already saved

If your company has saved companies in BidUnity, such as your vendors, you can copy one into the project instead of typing it again. Add existing entity is grayed out when there are none to pick.

  1. On the Contacts tab, click Add existing entity.
  2. Pick its Project role on this job.
  3. Pick the company under Existing entity.
  4. Click Add existing entity.

BidUnity copies the company into this project's contacts. Changes you make to the project contact later don't change the saved company.

Edit a contact

  1. On the Contacts tab, click the company's name, or the edit icon in its row.
  2. Change the company details, or add, change or remove people.
  3. Click Save changes.

Remove a contact

  1. On the Contacts tab, click the trash icon in the company's row.
  2. Click Remove to confirm.

This removes the company and its people from this project only.

What happens next

  • The project sidebar shows a customer name taken from these contacts. It uses the general contractor first, then the owner, then the first company in alphabetical order. See Get around a project.
  • To set up contract terms, the project needs at least one company here with at least one person. You pick the billing contact from these people. See Set up contract terms.
