Procurement
Procurement
How material moves from quote to requisition, purchase order and delivery, and who sees the Procurement menu.
Procurement is how you buy the materials for a job once a proposal is finalized. BidUnity tracks each order from the first vendor quote to the day the material arrives.
How an order moves
Each order is for one vendor. It moves through these steps:
- Quote. The vendor's price for the materials. You can send the vendor a link to a page that lists what you need, then add the quote they send back. See Get vendor quotes.
- Requisition. Your internal request to buy the materials. It records the amount, the delivery date and where the material should go. See Issue requisitions and purchase orders.
- Purchase order (PO). The formal order you send to the vendor. You enter the PO number from your own ordering system.
- Acknowledgement. The vendor's confirmation that they got the order. You upload it and check that it matches your PO.
- Received. The material arrived. You mark the order complete.
Each step changes the order's status. See Procurement statuses.
Where to find procurement
- From a project. Open the project and click Procurement in the project sidebar. You see only that project's orders. Everyone who can open the project sees this tab.
- From the Tools menu. Company admins see Procurement in the Tools menu. It lists orders across all your company's projects, plus orders that aren't tied to a project.
A project's Home page also has a Procurement card with counts of what needs follow-up. See Get around a project.
Where orders come from
Most orders start from a finalized proposal. BidUnity makes one requisition for each vendor in the proposal, plus one for parts you keep in stock. You can also start an order by hand for any vendor. See Start procurement.
