Procurement statuses
Requisition, part and delivery statuses, and requisition types.
Each order has a status, and so does each part on it. A requisition is your internal request to buy materials. A purchase order (PO) is the formal order you send the vendor. An acknowledgement is the vendor's confirmation that they got the order.
Order statuses
BidUnity sets the order status for you as the order moves along. You can't pick it by hand.
| Status | What it means | Tab |
|---|---|---|
| Pending | The order has no requisition yet. | Needs action |
| Requisitioned | The requisition is done but no PO has been issued. | Open requisitions |
| Ordered | A PO has been issued but the vendor's acknowledgement hasn't been recorded. | Issued POs |
| Acknowledged | The vendor's acknowledgement is recorded but hasn't been checked against the PO, or it has an error to sort out. | Ack received POs |
| Confirmed | The vendor's acknowledgement has been checked and matches the PO. | Ack verified POs |
| Received | The order has been received and completed. | Completed POs |
| Cancelled | The order was cancelled. | Cancelled POs |
The Needs action tab shows every order from Pending through Confirmed.
Some actions send an order back a step:
- Cancelling a requisition sends the order back to Pending.
- Cancelling a PO with Cancel in the Purchase order card sends the order back to Requisitioned. You can do this until you record the vendor's acknowledgement with Confirm order or Confirm and verify order.
To see how to move an order along, see Issue requisitions and purchase orders.
Part statuses
Each part on an order has its own status. You can change it from the part's edit panel, or for several parts at once. See Manage materials and doors.
| Status | What it means |
|---|---|
| Pending | Not requisitioned yet. |
| Requisitioned | Requisitioned but not ordered yet. |
| Ordered | Ordered but not received yet. |
| Partial Received | Some of the parts arrived, but not all. |
| Received | All the parts arrived. |
| Backordered | Ordered, but the vendor has it on backorder (out of stock for now). |
| Damaged | Received, but damaged. |
| Cancelled | Cancelled. You can't open a cancelled part to edit it. |
BidUnity sets four of these for you:
- Requisitioned when you save the requisition.
- Ordered when you issue the PO, for parts that were Pending or Requisitioned. Cancelled parts stay Cancelled, even when you issue a new PO after cancelling one.
- Received when you mark the order received.
- Cancelled when you cancel a PO with Cancel in the Purchase order card.
You set the others by hand.
Delivery methods
The delivery method says where the material goes. You set it on the requisition, and it can also be set on each part.
| Method | What it means |
|---|---|
| Will Call | You pick the material up from the vendor. |
| Jobsite | Delivered to the jobsite. |
| Shop | Delivered to your company's shop. |
| Address | Delivered to an address you enter. |
Requisition types
The requisition type says why you're ordering. You pick it when you create the requisition.
| Type | When to use it |
|---|---|
| Original Order | The original order for the project. This is the default. |
| Change Order | A change order for the project. A change order is an agreed change to the job's scope, price or schedule. |
| Vendor Error | The material came damaged or the wrong size from the vendor. |
| Internal Error | The material was ordered with the wrong size or makeup, glass broke on site, or it should have been in the original order. |
| Third-Party Error | The material was damaged by someone who is neither a vendor nor one of your employees. |
