Confirm glass sizes

Add, import, reduce and confirm the glass sizes on an order.

Who can do this: Everyone who can open the project. Company admins can also work from Tools > Procurement.

Glass is ordered by size. The sizes in a proposal are often estimates from the drawings. Before you order, you usually replace them with field-measured sizes (sizes taken on site once the openings are built) and confirm them.

Each glass part on an order has a list of sizes. Each size has a width, height, quantity and an optional mark (a label that ties the piece to its opening). BidUnity works out the part's quantity and total from these sizes.

See the glass sizes

  1. Open the order and click Materials. See Find and track orders.
  2. Glass parts show a badge:
    • Confirmed / Measured (green): the sizes have been confirmed.
    • Unconfirmed (yellow): the sizes haven't been confirmed yet.
  3. Click Show glass sizes under the part to open its sizes. Click Hide glass sizes to close them.

The sizes table shows the number of pieces and the block area. Block area is the total glass area with each width and height rounded up to the next even inch. If some pieces don't have a size yet, it says how many.

You can change glass sizes only until a purchase order (PO) is issued. The glass Actions menu is hidden after that, and on cancelled or completed orders.

Add or edit a size

  1. With the glass sizes open, click Actions, then Add size. To change a size, click the pencil icon on its row.
  2. Enter the Width (inches) and Height (inches), as a decimal or a fraction, such as 35.5 or 35-1/2.
  3. Enter the Quantity. It must be a whole number, 1 or more.
  4. Optionally enter a Mark / Notes, up to 100 characters.
  5. Click Add glass or Save changes.
  6. Enter a note explaining the reason for the change.

To delete a size, open it and click Delete, then enter a note saying why.

Import measured sizes from another proposal

If you've built a proposal with the measured glass sizes, you can copy them in.

  1. Click Actions, then Import glass sizes. You can also click the Unconfirmed badge.
  2. In Import glass sizes, BidUnity lists the project's finalized proposals. Click Select next to the one with the measured sizes.
  3. Check the glass parts you want to bring in. To pick a different proposal, click Back to proposals.
  4. Click Import selected.

The imported glass replaces the glass part you started from. The imported parts are marked Confirmed / Measured, and their quantity is worked out from the new sizes. The change shows in the project's material changes. See Review material changes.

Import glass sizes is grayed out on an order that has no project and no proposal.

Show sizes reduced by 1/8 inch

Under Dimensions in the Actions menu:

  • Actual dimensions shows the sizes as entered.
  • Reduce by 1/8" shows each width and height 1/8 inch smaller. The table notes that the dimensions are reduced.

This choice is saved with the part. The vendor's quote page shows the sizes the same way. See Get vendor quotes.

Change the display units

Under Display units in the Actions menu, pick 16ths of an inch or Millimeters. This only changes how sizes are shown.

Confirm the sizes

Once you've checked every size:

  1. Click Actions, then Confirm sizes.
  2. In Confirm glass sizes, click Confirm sizes.

This marks all the sizes on that part as checked and ready for production. The badge changes to Confirmed / Measured.
