Manage materials and doors

Add, move and remove parts, set status and delivery, and review material changes.

Who can do this: Everyone who can open the project. Company admins can also work from Tools > Procurement.

Each order has a materials list: the parts you're buying from that vendor. Orders built from a proposal start with the proposal's parts. You can change the list until a purchase order (PO) is issued.

Open the materials list

  1. Open the order. See Find and track orders.
  2. Click Materials.

The table shows each part's account, description, image, part number (Part #), finish, quantity, unit price, total, expected date, delivery method and status. To show or hide columns, click View. To narrow the list, type in the Filter... box.

Add a part

  1. Click Add part.
  2. Pick one:
    • Click Search for a part to pick from this vendor's parts.
    • Click Create custom part to enter a part by hand. You must pick a Purchase type, which says how the part is purchased. You can't change it later.
  3. Fill in the Part description, Part number, Finish, Quantity and Unit price. Quantity and unit price must be more than zero. For glass parts, Quantity is grayed out, because BidUnity works it out from the glass sizes.
  4. Pick a Status and Delivery method, and enter the expected delivery date. For Will Call (you pick it up from the vendor), it asks for the expected pickup date instead.
  5. Click Save.
  6. In Enter notes, enter a note saying why you're adding it.

Edit or remove a part

  1. Click the pencil icon on the part's row.
  2. Change what you need and click Save. If you changed the quantity or swapped in a different vendor part, you must enter a note saying why.

To remove the part, click Remove part in the same panel, enter a note saying why, and click Remove.

Set status and delivery for several parts

You can do this even after a PO is issued.

  1. Check the box on each part you want to change.
  2. Click Set status & delivery for (the button shows how many parts you picked).
  3. In Part status & delivery, set the Status, the expected delivery or pickup date, the Delivery method, and the Ship to address if needed.
  4. To blank out a value on all the selected parts, check its Clear the … box.
  5. Click Save changes.

For what each part status means, see Procurement statuses.

Move parts to another order

Use this when a part should come from a different vendor, or from your own stock.

  1. Check the box on each part you want to move.
  2. Click Move parts to (the button shows how many parts you picked).
  3. Pick where the parts go:
    • Another open order on the same project that doesn't have a PO yet. If two orders share a vendor, the proposal number shows next to the name.
    • Choose another vendor... to start a new order for a different vendor.

You can also move a single part from its edit panel.

Move parts to inventory

The inventory requisition holds parts your company keeps in stock instead of buying. When you move a single part there, BidUnity asks whether to Move entire quantity or Move a partial quantity.

If you're a company admin and the parts you moved aren't on your company's inventory parts list yet, BidUnity asks Always get these parts from inventory?

  • Click Always get from inventory to add them to the list. Future requisitions will put these parts in the inventory requisition for you.
  • Click Skip to move them this once.

For everyone else, BidUnity just moves the parts and doesn't ask.

To see the list, click Inventory parts list. See Manage inventory parts.

Delete an empty order

If a move leaves the old order with no parts, BidUnity asks Delete empty requisition? Click Delete to remove it, or close the window to keep it.

When you can't change the list

  • After a PO is issued, you can't add, edit or move parts. The buttons are grayed out. Point to one to see The material list cannot be modified once a purchase order has been issued. You can still set status and delivery.
  • You can't open a part with the Cancelled status to edit it.
  • On a cancelled or completed order, the buttons for changing parts are hidden.

View doors

If the order includes doors, click Doors to see them. The table shows each door's schedule, frame and leaf (the part of the door that swings), with quantity, unit cost and total cost. You can't edit doors here.

Review material changes

The project's Procurement tab shows a summary of changes to the project's materials at the top of the page. If nothing has changed, it says No changes to requisitions for this project. Otherwise it counts the parts that were increased, decreased, added or updated.

  1. Click View changes.
  2. In Material changes, each row shows the part, its finish, the kind of change, the net change and when it last changed.
  3. Click a row to see its full history: the date, who made each change, and the note they entered. Glass changes also show each size's mark or note.
