Tasks

How workflows create tasks and how tasks move between people.

Tasks help your team take a project through the same steps every time. Company admins set up the steps once as a workflow template. Anyone on the team can start that workflow on a project, and BidUnity creates each task when it's time for someone to do it. Everyone in your company can use Tasks.

Key ideas

TermWhat it means
Workflow templateA reusable plan for a process, such as the steps your company follows after you win a job. Company admins build these in Settings.
Task templateOne step inside a workflow template. It holds the instructions, the work roles that do the step, how many business days it gets, and the buttons people press to finish it.
WorkflowA workflow template started on one project. A project can run more than one workflow, each with its own name.
TaskOne piece of work in a started workflow. You open it, read the instructions, and finish it with one of its buttons.

How a workflow moves

  1. Someone starts a workflow on a project. BidUnity creates the tasks that are set to start on their own.
  2. Each new task starts unassigned. It shows up for everyone whose work roles match the task's roles. Your work roles are the roles ticked for you under Permissions on the Users page. Anyone can then assign the task to one person.
  3. When you finish a task, you press one of its buttons. Each button can create one or more next tasks, or end that branch of the workflow.
  4. A task that waits on several earlier tasks is only created once all of them are completed.
  5. If a task needs more work from an earlier step, you can send it back. BidUnity then creates a fresh copy of the earlier task.

Due dates count business days, so weekends and US holidays are skipped. BidUnity doesn't send email or phone alerts for tasks. Watch the task icon at the top of the page instead.
