Work a task
Read the instructions, add notes, complete, send back, reopen and rate a task.
Who can do this: Everyone in your company, including Field/shop workers. You can complete, reassign or reopen any task, not only tasks assigned to you. You can't rate a task you finished yourself.
Open a task from the Tasks list, a project's Tasks page or your dashboard. The task window shows everything about the task and the buttons that move the workflow on. To find your tasks, see Find your tasks.
What the task window shows
- At the top: the project name, the workflow name, the task name and its status. Click the project name to open one of the project's pages in a new tab. If the task has been sent back or reopened before, the name shows which copy this is, for example "(Instance #2)".
- Details: Due date, Duration (expected time, and actual time once the task is finished), Priority and Assigned to.
- Instructions: what to do, written by your company admins.
- Notes: notes people added to the task, newest first.
- Task rating: only on finished tasks.
- For a finished task, a box at the top shows when it was finished, who finished it, and the result.
- History: click History at the bottom left to see the tasks in this workflow in a list beside the task.
Change the task details
You can change the details of an open task. Details of a closed task can't be changed.
- Open the task.
- Click the value under Due date, Duration, Priority or Assigned to.
- Pick the new value:
- Due date: pick a date.
- Duration: enter a number and choose Hours or Minutes.
- Priority: choose No priority, Low, Medium or High.
- Assigned to: choose a person, or Unassigned to take the task off someone.
- Click Update.
Add a note
You can add notes to open and closed tasks.
- Open the task.
- In Notes, click Add note.
- Type your note.
- Click Submit note.
Complete a task
- Open the task.
- Read the Instructions and do the work.
- At the bottom right, click the button that fits what happened. Your company admins name these buttons when they set up the workflow. Point at a button to see whether it creates new tasks.
- In the Complete task window (its title also shows the button name), enter the Actual time spent and choose Hours or Minutes. This is required.
- Optionally, add a Final note (optional).
- Check Next actions. It says how many new tasks the button creates, or that no more tasks will be created.
- Click Complete task.
Send a task back
Send a task back when an earlier step needs more work. The Send back button shows on open tasks that were created by an earlier task.
- Open the task.
- Click Send back.
- In Send back to previous task, enter the Reason for sending back. This is required.
- Click Confirm & send back.
You can't send a task back if another task created from the same earlier step has already been completed. Point at Send back to see why it's turned off. If other open tasks were created from the same step, the window warns you that they will close too.
Reopen a closed task
Reopen creates a new open copy of a closed task. It also closes any open tasks that came after it in the same branch of the workflow.
- Open the closed task.
- Click Reopen.
BidUnity reopens the task straight away, with no extra confirm step. You can't reopen a task if the workflow splits into more than one branch after it. Point at Reopen to see why it's turned off.
Rate a task
You can rate a closed task that someone else finished, from 1 to 5 stars.
- Open the closed task.
- In Task rating, click a star.
Your rating saves as soon as you click. You can change it later by clicking a different star. The window shows the average of everyone's ratings.
What happens next
- Complete a task: the task closes, and BidUnity creates the next tasks for that button. Each new task gets a due date from its task template, counted in business days. A task that waits on several earlier tasks is skipped until all of those are completed, and the message tells you how many tasks were skipped.
- Send a task back: the task closes, along with any other open tasks created from the same step. BidUnity creates a new copy of the earlier task, with your reason added as a note.
- Reopen: the new copy of the task appears in the task lists, and the later open tasks in that branch close.
- Rate a task: the rating shows in the Task activity report.
