Schedule project work

Add and filter schedule events for one project.

Who can do this: Anyone who can open the project. Field/shop workers see, add, edit, move and delete only their own events.

The Schedule tab is a calendar of who is working on the project and when. Each entry is a schedule event: one person (or nobody yet) assigned to the project for a time range. The same events also show on the company calendar, which covers every project. See Use the company calendar.

Move around the calendar

  1. Open the project and go to Schedule. The Project schedule page opens.
  2. Use the arrows to go back or forward, and Today to come back to the current date. Today is greyed out when today is already showing.
  3. Pick a view from the view menu on the right of the toolbar:
    • Month, Week (the default) or Day show a calendar grid.
    • Timeline day and Timeline week show one row per person, with their events running left to right across the hours.
    • Schedule week and Schedule day show the events as a list.

Weekdays from 7:00 AM to 6:00 PM are shaded as working hours, and the grid opens at 7:00 AM. A line marks the current time. When a day has too many events to fit, click +N more to see the rest. Click a day's heading to open that day.

The timeline views work the same way as on the company calendar: drag an event to change its time, or onto another person's row to give it to them, and click an empty spot on a row to add an event for that person. See Use the timeline views.

When you print this page, the calendar prints on one page. Anything taller than the page is cut off.

Add an event

  1. Click Add to schedule. You can also drag across the calendar over the time you want.
  2. In User, pick who is doing the work, or [UNASSIGNED] if you don't know yet. Field/shop workers don't see this box; their events are always assigned to themselves.
  3. Set Start and End. When you move Start, End moves with it, so the event keeps its length. Turn on All day for an event with no set times.
  4. Check Location. It starts with the project's site address.
  5. Optionally, add Notes.
  6. Click Save event.

Change, copy or delete an event

To change an event's time, drag it to a new time, or drag its edge to make it longer or shorter.

To change anything else, click the event. The Edit schedule event dialog opens. From there:

  • Change any field and click Save event.
  • Click Duplicate to start a new event with the same details. Change what you need, such as the date, and click Save event.
  • Click Delete to remove the event. BidUnity doesn't ask you to confirm.

Filter by user

Use Filter by user to show only some people's events.

  • Tick or untick [UNASSIGNED] and each user. Each user has a color, which their events use on the calendar.
  • Click Only next to a user to show just that person.
  • Company admins also see All users, to show everyone again, and an Edit colors link to change user colors.

Field/shop workers don't see this filter. They only ever see their own events.

How scheduling gives access

A Field/shop worker can open a project as long as at least one event on it, past or upcoming, is assigned to them. When you assign a Field/shop worker to an event on a project, they can open that project. When their last event on the project is deleted, reassigned to someone else or moved to another project, they lose access to it.
