Files and field work

Share project files

Send a link so people outside your company can see a project's public files.

Who can do this: Anyone who can open the project. Field/shop workers can open only the projects they are scheduled for in the calendar.

Each project has one share link that opens its public project dashboard. Send it to a general contractor, owner or anyone else outside your company who needs the project's drawings, submittals or paperwork. They don't need a BidUnity account or a password.

  1. Open the project and go to Files.
  2. Click Public view.
  3. Click Copy, then paste the link into an email or message.

To check what others will see, click the open-in-new-tab icon next to Copy (its tooltip says Preview in new tab).

Choose what people can see

The link shows only files marked public. A file is public when its Visibility switch is on, which is the default for new uploads. To hide a file, open it on Files, go to File info and turn Visibility off. See Manage project files.

These files never show on the link, even if they are marked public:

  • Files in the Procurement category.
  • Files of the types Material Quote, Requisition, Purchase Order Confirmation and Internal Forms.

Public Company Information files, such as your W-9 or Contractor's License, show on the link of every project.

The link stays the same for the life of the project, and you can't turn it off. To stop people seeing a file, make the file private.

What the recipient sees

The link opens a page titled Project dashboard with:

  • The project name and site address.
  • Your company's name, shop address, phone number and email.
  • The public files, in Grouped view or List view, like on your Files tab.

They can click a file to preview it, see its details and version history, and download it. They can't upload, edit or delete anything.
