Review the summary and finalize

Set margins, tax and options, check the totals, then finalize the proposal.

Who can do this: Anyone in your company who can open the project.

This is the last of the three pricing steps. The Proposal summary page groups your costs by work type (type of work), lets you set margins and tax, and then finalizes the proposal. You get here by clicking Next: Summary & finalize after you add indirect costs.

A finalized proposal can't be changed or put back to Open. If you need changes later, click Actions, then Create a copy of this proposal, and work on the copy. See Create a proposal.

Set margins

Gross margin is the share of the price left after your costs. For example, a $100 job that costs you $80 has a 20% margin. This is not the same as markup: a 20% markup on $80 gives $96, not $100.

  1. In the Margins card, check the Cost basis (your total cost) for each work type.
  2. Compare it with the Schedule margin. It comes from your company's margin schedule, based on the cost of the whole proposal, so every work type gets the same schedule margin.
  3. Enter the Gross margin you want for each work type. It can't go below your company's minimum margin, if you have one.
  4. Click Update margins.

If you added indirect costs for General project overhead (costs that cover the whole job, not one work type), they get their own General project overhead row. A margin can be up to 99.99%.

Set tax rates

  1. On the Summary proposal value card, click Tax rates.
  2. If BidUnity found the rates for the project's site address, they show under Project site address rates. If it couldn't, you see "We could not look up tax rates for the project site address. 7% is a default. Check the rates before finalizing."
  3. Enter the Sales tax rate and Use tax rate, from 0 to 100%.
  4. Click Save tax rates.

Choose how each work type is taxed

  1. On the Summary proposal value card, click Options. It is greyed out when there is nothing to choose.
  2. For each work type, choose one:
    • Materials and labor installed: you install the materials. Use tax is charged on your cost of the materials and shop labor.
    • Material resale: you sell the materials without installing them. Sales tax is charged on the price of the materials and shop labor.
  3. Click Save options.

Add custom notes

Custom notes show on the front page of the proposal, below the total. A Company default badge next to Custom notes means the notes are still your company's default notes, unchanged.

  1. In the Custom notes card, click Edit notes.
  2. Write your notes.
  3. Click Save notes.

New proposals start with your company's default notes. See Set proposal defaults.

Check the totals

  • Summary proposal value shows the total price with tax, your cost basis, your gross margin, the tax rates and the proposed tax.
  • Summary warnings lists anything that needs a look.
  • Each work type has its own card with its Summary value, Gross margin and whether materials are installed or resold. The Summary value notes whether it includes use tax or sales tax. Its Work type budget section (click the card's name to hide or show it) breaks the cost into material, labor and overhead accounts, each with a tax row and a Subtotal. The tax row depends on how the work type is taxed:
    • Materials and labor installed: for example, Use tax (7.00% of cost basis). The labor account is taxed only on shop labor.
    • Material resale: for example, Sales tax (7.00% of proposed value). The labor account is taxed only on shop labor.
  • If you added indirect costs for General project overhead, a General project overhead table below the work type cards lists each one with its Budgeted expense (name), Cost basis, Gross margin and Proposed value.

If you see Summary changes are paused, pricing is being rebuilt, the proposal is being finalized or an elevation is being saved. Margins, tax rates, options, notes and finalizing are turned off until it finishes.

Finalize the proposal

  1. Click Finalize proposal at the bottom of the page.
  2. Check the Proposal total being finalized and the tax line under it.
  3. Click Finalize proposal to confirm.

If the proposal changed after you opened the summary, you see The summary changed — please re-review, and nothing is finalized. BidUnity recalculates the totals and highlights them. Check them, click Review and re-confirm, then confirm again.

Finalizing can take a moment. You can reload the page while it runs. If it fails, the proposal stays Open and you can try again.

If Finalize proposal is greyed out, point to it to see why. For example, Refresh the summary to confirm the latest totals before finalizing. means you should click Refresh summary first.
