Change a proposal's status

Move a proposal through offer, award, contract and production, or reject and restore it.

Who can do this: Anyone who can open the project. Field/shop workers can open only the projects they are scheduled for in the calendar.

You change a proposal's status from its Actions menu. The status shows next to the proposal's name, and in the project's list of proposals. For what each status means, see Proposal statuses.

Before you can change the status, the proposal must be finalized. Until then, these menu items are turned off, and the menu says "Complete this proposal with Price & quote proposal to enable these actions." You also can't change a proposal's status while the project is closed.

Each change asks you to confirm. When it's done, you see "Proposal updated".

Mark a proposal as Proposed Offer

Do this when you send the proposal to your client, to record that it's your offer.

  1. Open the proposal.
  2. Click Actions, then Mark as Proposed Offer.
  3. Click Mark as Proposed Offer to confirm.

A project has only one Proposed Offer. If another proposal was the Proposed Offer, it goes back to Finalized.

Mark a proposal as Price Awarded

Do this when the client comes back on this proposal with their terms.

  1. Open the proposal.
  2. Click Actions, then Mark as Price Awarded.
  3. Click Mark as Price Awarded to confirm.

What happens:

  • The project's other Open and Finalized proposals, and its Proposed Offer, become Rejected.
  • A proposal that was Price Awarded before goes back to Finalized.
  • Proposals that are Contract Scope, Scheduled for Production or Production Completed stay as they are.
  • The project status changes to Contract Review. See Project statuses.
  • BidUnity uses this proposal for the project's contract terms and billing. See Set up contract terms.

Mark a proposal as Contract Scope

Do this for the proposal that holds the verified scope of what will be built.

  1. Open the proposal.
  2. Click Actions, then Mark as Contract Scope.
  3. Click Mark as Contract Scope to confirm.

A project has only one Contract Scope proposal. If another proposal had this status, it goes back to Finalized.

Schedule a proposal for production

Do this when the work is scheduled for production.

  1. Open the proposal.
  2. Click Actions, then Schedule for production.
  3. Click Schedule for production to confirm.

Your workers can now track time to this proposal in BidUnity Mobile. You still need to schedule them for the project in the company calendar. See Use the company calendar and Clock in.

Mark production as completed

  1. Open the proposal.
  2. Click Actions, then Production completed.
  3. Click Production is completed to confirm.

Workers can no longer track time to this proposal.

Reject a proposal

Reject a finalized proposal you no longer want in play. A finalized proposal can't be deleted, so rejecting is how you set one aside.

  1. Open the proposal.
  2. Click Actions, then Reject this proposal.
  3. Click Reject this proposal to confirm.

The proposal moves out of the project's active proposals. To see it again, set the Proposals list filter to Rejected proposals or All proposals.

If you reject the proposal BidUnity uses for the project's contract terms and billing (the one you last marked Price Awarded), BidUnity stops using it. If it was still Price Awarded, the project status also goes back to Request for Pricing.

Restore a rejected proposal

You can restore only a proposal that was finalized.

  1. Open the rejected proposal.
  2. Click Actions, then Restore this proposal.
  3. Click Restore this proposal to confirm.

The proposal goes back to Finalized. It doesn't get back the status it had before you rejected it.

Create requisitions

When a finalized proposal is ready to order, click Actions, then Create requisitions to start ordering its materials. See Start procurement.

Things you can't undo

  • A finalized proposal can't go back to being editable. To make changes, copy the proposal and finalize the copy.
  • A finalized proposal can't be deleted. Reject it instead. You can delete a proposal that isn't finalized yet. See Delete a proposal.
