Use parts lists and request quotes
Parts by vendor, work type and assembly, packing lists, and requesting a vendor quote.
Who can do this: Anyone in your company who can open the project. The proposal must be Finalized.
The Parts tab lists every part the job needs, sorted in different ways for quoting, ordering, building and shipping. It opens once you finalize the proposal.
Open a parts list
- Open the project, then open the proposal.
- Click the Parts tab.
- Click the view name at the top of the tab and pick a list.
Use the units menu at the top of the tab to change how part sizes are shown, and Print to print the list. See Print drawings and lists.
The lists
| List | What it shows |
|---|---|
| Parts list by vendor for quote | Parts grouped by vendor: Account, Part name, Vendor part #, Finish, Qty needed, Units sold, Unit price and Cost basis (your cost). A vendor's doors show in their own table. |
| Parts list by work type | Parts grouped by work type (type of work): Account, Part name, Vendor part #, Finish, Part size and Cost basis. |
| Assembly list | For each elevation (drawing of one opening), the parts to put together, split into Parts for fixed panels, Parts for door leafs and Parts for door frames. |
| Stock material packing list | Item, Part # and Description of the stock material to pack. |
| Cut size packing list | Item, Part # and Description of the cut pieces to pack. |
| Assembled frame packing list | Item, Part # and Description of the assembled frames to pack. |
In Parts list by vendor for quote, each vendor's parts table has a Filter parts box. Type in it to show only the matching parts. If nothing matches, the table says "No matching parts." Click a column heading to sort by it. Click it again to reverse the order, and a third time to go back to the original order.
The three packing lists also have Order qty, Loaded qty and Total sent columns, and blank Loaded confirm and Received confirm columns for initials. Each one ends with rows for shims, bits, a gang box and a ladder.
Request a quote from a vendor
You can send a vendor a link to the parts you need from them, so they can price them. The vendor doesn't need a BidUnity login.
- Open the Parts list by vendor for quote view.
- Find the vendor and click Request quote.
- To see the vendor's page first, click the open-in-new-tab icon next to Copy. It opens in a new tab.
- Share the link one of two ways:
- Click Copy to copy the link, then paste it into your own message.
- Click Email to open your email app with a ready-made message. The subject is "Request for quote", and the message has the link and says no password is needed. Add the vendor's email address before you send it.
Each vendor gets its own link. Request quote doesn't show for vendors set up as sellers in BidUnity.
What the vendor sees
The link opens a Request for quote page that asks the vendor to price the materials listed. It shows:
- your company's name and contact details
- the project name and proposal number
- under Requested by, the person who finalized the proposal, with their email
- the materials, with Units needed, Vendor part #, Finish and Description
- any glass sizes and doors in the request
The page has no prices and no form. The vendor replies to you directly, for example by email.
What happens next
- Once you start procurement, each order has its own quote link. To track vendor quotes for an order, see Get vendor quotes.
