Manage users

Invite, edit and deactivate users, and set their user type and work roles.

Who can do this: Company admins. Everyone else can view the list of users but can't invite or change anyone.

Use the Users page to add people to your company, choose what kind of user each person is, and turn off accounts for people who leave.

To open it, go to Settings and click Users. The page is called Company users.

The users list

The list shows each user's Name, Email, User type, Roles and Status (Active or Inactive). Inactive users are hidden until you turn on Show inactive users.

People you have invited but who haven't created their account yet don't appear in the list.

User types

Each user has one user type:

User typeWhat it means
Standard userCan do all normal estimating work.
Company adminCan also change company settings, such as users, vendors and multipliers.
Field/shop workerCan only open the projects they are scheduled for in the calendar. Can't open a project's Terms, Change orders or Billing tabs.

Add a user

  1. On Company users, click Add user.
  2. Enter the person's Email.
  3. Under User type, pick the type that matches what this person needs to do.
  4. Click Send invitation.

BidUnity emails the person an invitation with the subject You're invited to join BidUnity. They click Accept invitation in the email to create their account and join your company. See Sign in and out.

If the person can't find the email, add them again with the same email address. BidUnity sends the invitation again.

If the email address already has a BidUnity account, you see a message saying so. Each email address can belong to only one company. The person can email support@bidunity.com to move their account to your company.

Edit a user

  1. On Company users, click the pencil icon in the user's row.
  2. In Edit user, change any of these:
    • User type
    • Permissions: tick the work roles this person does (see below).
    • Status: turn the switch on for an active user, or off for an inactive user.
  3. Click Save changes.

You can't change a user's name or email here. Users change their own name on their profile. See Update your profile.

When you edit yourself, you can't remove your own company admin access or make your own account inactive.

Work roles

Work roles describe the jobs a person does, such as Estimator, Project Manager, Glazier or Shop Foreman. A user can have any number of them. The full list is:

Dispatcher, Draftsperson, Estimator, Glazier, Job Site Supervisor, Manager, Project Manager, Project Coordinator, Senior Estimator, Senior Project Manager, Shop Foreman, Job Site Foreman, Safety Officer, Accounting, Warehouse Manager, Facility Manager, Business Manager, Superintendent, Timesheet Admin.

  • Most work roles decide which tasks a person sees. A task that no one is assigned to shows up for users who have one of the roles named on that task. See Tasks.
  • Timesheet Admin is different: it opens the timesheet reports. See Roles and permissions.

Turn off a user's access

You can't delete users. To stop someone from using BidUnity, make them inactive instead:

  1. Click the pencil icon in the user's row.
  2. Turn off the Status switch, so it reads Inactive user.
  3. Click Save changes.

Inactive users can't sign in or open any page in BidUnity. To let them back in, turn the switch on again.

What happens next

  • A new user can sign in once they accept the invitation and create their account.
  • Changes to a user's type, work roles or status take effect the next time that user opens a page.
