Roles and permissions

User types, work roles, Timesheet Admin, and what each can see and do.

What you can see and do in BidUnity depends on two things a company admin sets when they add or edit you:

  • Your user type. Everyone has exactly one.
  • Your work roles. You can have none, one or several.

To change a user's type or work roles, a company admin goes to Settings, then Users. See Manage users. You can see your own on your profile, but you can't change them there.

User types

User typeWhat the app saysWhat it means
Standard userStandard users can perform all normal estimating activities.Works on projects, proposals, tasks and the calendar. Can view the company settings pages but not change them.
Company adminCompany admins can change company settings, like managing users, vendors, and multipliers. Can do everything a Standard user can, and also change company settings, invite and manage users, and edit the company's catalog.
Field/shop workerField/shop workers can only access projects they are scheduled for in the calendar.Sees only the projects they are scheduled for, and only their own calendar entries. Can't open a project's Terms, Change orders or Billing tabs.

A company admin can't take away their own company admin access, and can't make their own account inactive.

Active and inactive users

Each user is either an Active user or an Inactive user. Inactive users can't sign in or open any BidUnity page. A company admin sets this when they edit the user.

Work roles

Work roles describe the job a person does. A company admin ticks them under Permissions when they edit a user. The work roles are:

  • Accounting
  • Business Manager
  • Dispatcher
  • Draftsperson
  • Estimator
  • Facility Manager
  • Glazier
  • Job Site Foreman
  • Job Site Supervisor
  • Manager
  • Project Coordinator
  • Project Manager
  • Safety Officer
  • Senior Estimator
  • Senior Project Manager
  • Shop Foreman
  • Superintendent
  • Timesheet Admin
  • Warehouse Manager

Work roles decide who picks up unassigned tasks. When a task is meant for a work role but has no person assigned, everyone with that work role sees it in their open task count and their task list. See Find your tasks and Set up task workflows.

Apart from Timesheet Admin, work roles don't open or close any pages.

Timesheet Admin

Timesheet Admin is the one work role that gives extra access. A user with it can:

  • See Timesheet summary, Timesheet by project and Company bidding activity in the Reports menu.
  • Open a person's timesheet for a day, correct a shift's times or project, and click Approve time.
  • Click Remove approval to reopen an approved day so its shifts can change again.

The role works the same for every user type. A Field/shop worker with Timesheet Admin sees and corrects everyone's timesheets across the company, and can move a shift to any of the company's projects, including projects they can't open.

Company admins can do all of this without the role. Other users who open a timesheet page or the Company bidding activity report see Access denied. See Review and approve timesheets.

What each user type can do

"Yes" means the user type can do it. "With Timesheet Admin" means only users who also have that work role.
