Add parts and finish prices
Create parts, choose a purchase type, and set or override finish prices.
A part needs finish prices before BidUnity can price it on a proposal. A finish price is the vendor's list price for the part in one finish color.
Purchase types
The purchase type says how you buy the part. It decides how BidUnity turns the amount a proposal needs into the number of things to buy. See How pricing works for the math.
| Purchase type | Use it for | Extra fields |
|---|---|---|
| Per unit | Single pieces you buy one at a time. | None |
| Per unit, lot quantity | Pieces sold in packages, such as a box of 100 screws. | Units in package / minimum order quantity |
| Total length | Material priced by its total length. | None |
| Stock length | Material sold in fixed lengths (sticks), such as extrusions. Each cut must fit in one stick where it can. | Unit length and Units in package / minimum order quantity |
| Stock length, spliceable | Fixed lengths where cuts can be joined end to end, so only the total length matters. | Unit length and Units in package / minimum order quantity |
| Total area | Material priced by area, such as glass. | None |
| Container volume | Material sold in containers, such as tubes of sealant. | Unit volume per part and Units in package / minimum order quantity |
Unit length is the length of one stock length (or the height of a sheet), in inches. You can type a decimal or a fraction, such as 288 or 143-1/2. Units in package / minimum order quantity is how many pieces come in one order of the item. If you buy a box of 100 screws, enter 100.
Add a part
- Open the vendor from Catalog > Systems & parts by vendor, and go to the Parts tab.
- Click Create new part.
- Choose the Visibility.
- Enter the Part description. Describe the part fully. The vendor's short name and the part number are added to the part name for you.
- Enter the Part number the vendor uses.
- Choose the Product group.
- Choose the Account. Accounts group parts into expense accounts for cost summaries.
- Choose the Purchase type. You can't change it after the part is created.
- Fill in the extra fields for that purchase type, if any.
- Click Create part.
If another part already has the same name, you see "An existing part has the same name, please choose a unique name". Change the description or part number.
What happens next
You see "The part was created, next create finish prices for it". Add at least one finish price (below) so BidUnity can price the part.
Edit or delete a part
You can edit only parts that are custom to your company. For a similar part you added to a shared part, you can change the part number, product group and size fields, but not the description or account.
- Open the part from the vendor's Parts tab.
- Click Edit part.
- Make your changes and click Save part.
To delete the part, click Delete, then Delete part to confirm.
Add a finish price
- Open the part.
- In the Prices table, click Add a price. If the part has no prices yet, click Want to add one?.
- Choose the Visibility.
- Choose the Finish color. BidUnity uses it to pick the price that matches the finish color of each specification on a proposal.
- Choose the Finish type. This is for information only.
- Enter Your list price. Your cost is this list price times your product group multiplier.
- Click Save finish price.
You see "The finish price was saved". The prices you set are used by everyone in your company.
Set your own price for a shared part
If your company pays a different list price than the shared catalog shows, set a custom list price for your company. The shared price stays the same for other companies.
- Open the part.
- In the Prices table, click Change on the price's row.
- Enter Your list price. The Default list price shows the price from the vendor's catalog for comparison. You can't change the finish color or type here.
- Click Save finish price.
The row now shows an icon meaning it uses a custom list price for your company.
To go back to the shared price, click Change on the row again, then Revert to default price.
Change or remove your company's own price
- Open the part and click Change on the price's row.
- Change the price and click Save finish price, or click Remove custom price to delete it.
Add the same part from another vendor
If another vendor sells the same part, add it as a similar part. BidUnity can then compare the vendors' prices when it prices a proposal.
- Open the part.
- In the Similar parts card, click Add a similar part.
- Choose the Visibility.
- Choose the Vendor name, the vendor that sells this part. The list shows the vendors BidUnity shares with every company and the vendors your company added.
- Choose the Product group. Its multiplier is used to work out your cost.
- Enter the vendor's Part number.
- Fill in the extra fields for the part's purchase type, if any.
- Click Create part.
What happens next
You see "The part was created, next create finish prices for it". Add finish prices to the new vendor's part so it can be priced.
