Calendar and time
Calendar and time
How the schedule decides who can clock in where, and how time reaches timesheets.
The calendar is where you plan who works on which project and when. Each entry on it is a schedule event: one person assigned to one project for a stretch of time. Clocking in and timesheets build on that schedule, so keep the calendar up to date.
How the schedule affects access
- Field/shop workers can only open the projects they are scheduled for in the calendar. When you assign a Field/shop worker to an event on a project, they can open that project, and keep access while at least one event on it, past or upcoming, is theirs. When their last event on that project is deleted, reassigned or moved to another project, they can't open it anymore.
- Field/shop workers see only their own events on the calendar. They can only add events for themselves, on projects they are already scheduled for, and can only edit, move or delete their own events.
How the schedule affects clocking in
You can only clock in to a project you are scheduled on today.
- On the web, Time clock lists the projects you have events for today. If you have none, it says you are not scheduled for any projects today. See Clock in and out on the web.
- In BidUnity Mobile, you clock in from your schedule for today. See BidUnity Mobile.
So before someone can clock in, they need an event on that project for that day. You can add it on the company calendar or on the project's Schedule tab. Both show the same events. See Use the company calendar and Schedule project work.
How time reaches timesheets
- A person clocks in and out, on the web or in BidUnity Mobile. Each clock in and clock out pair makes a shift (one block of worked time on one project). If someone forgets to clock out, BidUnity clocks them out automatically after the day ends.
- Company admins and users with the Timesheet Admin work role review everyone's shifts on the Timesheet summary. They can fix times and projects, and company admins can add missing shifts.
- They approve each person's time one day at a time. An approved day's shifts can't change, and its hours show on Timesheet by project.
