Add and edit shifts
Add a missing shift, correct times or the project, and when a day locks.
Who can do this: Company admins and users with the Timesheet Admin work role.
A shift is one block of worked time on one project, from clock in to clock out. Fix shifts before you approve the day. Once a day is approved, its shifts can't change until someone clicks Remove approval. See Review and approve timesheets.
Add a missing shift
Use this when someone worked but didn't clock in.
- Click Reports, then Timesheet summary.
- Pick the week under Time period. It loads as soon as you pick it.
- Click the person's hours for the day. The summary lists only people with time recorded that week.
- Click Add shift.
- Click Choose project..., then pick the project. Use Active projects, Open projects, Closed projects or All projects to narrow the list, or type to search.
- Set the Start time and End time. Times are in the worker's time zone, which the page shows, and must fall on that day.
- Click Create shift.
You see "The shift was created" and go back to the day. The shift's Change history notes that it was created by hand.
The shift can't start or end in the future, and it can't overlap another shift for the same person. If it does, the message names the other shift's project and times.
Add shift is turned off when the day is already approved or too old to change.
Open a shift
- Open the person's day from Timesheet summary.
- Click a clock in or clock out time.
Shift details shows:
- Approved?: who approved the shift and when, or Not approved.
- User, Project, Start time and End time. A shift still in progress shows "Shift has not ended".
- Length: the shift's hours.
- Timezone: where the shift was recorded.
- Clock-in location and Clock-out location: how many miles from the jobsite, if the person wasn't near it. "Not available" means no location was recorded.
- Accomplishments and Injury?: what the person entered when they clocked out in BidUnity Mobile.
- Activities: the proposal, specification (called the scope of work on the phone) and activity the person tracked time against in BidUnity Mobile.
- Change history: every change to the shift's times, with who made it, when, the previous start and end times, and any notes. When BidUnity clocked the person out automatically, the change shows "[AUTOMATED]" as who made it. See If you forget to clock out.
Change the times
- Open the shift.
- Change the Start time, the End time, or both. You change only the time of day; the date stays the same. If the shift hasn't ended, you can change only the start time.
- Optionally, type a reason in "Why are you making this change? (optional)".
- Click Save new times. To start over instead, click Discard changes.
You see "The times were saved for the shift". A new row appears in Change history, and the day detail marks the changed time with a pencil icon.
If the shift was recorded in a different time zone from yours, you edit it in the shift's time zone, and the page tells you which one.
Change the project
Use this when someone clocked in to the wrong project.
- Open the shift.
- Next to Project, click Change.
- Pick the right project.
You see "Shift project updated". If the person tracked activities in BidUnity Mobile, those keep the project they were recorded against.
You can't change the project while the shift is still in progress.
When a shift locks
You can't add, change or move a shift when:
- The day is approved. Remove the approval first. See Review and approve timesheets.
- The day is too old. Days older than three weeks before the start of the current week can't change. You see "This timesheet is too old to be modified."
On a locked shift, Shift details shows the times and project as plain text, with no way to edit them.
What happens next
- The day's hours on Timesheet summary update.
- When you approve the day, these shifts are included and appear on Timesheet by project.
