Contract and change order statuses
Contract statuses, change order statuses, what Approved includes, and billing labels.
Contracts and change orders each have their own list of statuses. Both lists are separate from the proposal statuses, even where a label is the same. For those, see Proposal statuses.
Contract statuses
You set the contract status in Contract status on the Terms tab. BidUnity also changes it for you in two cases, noted below.
| Status | What it means |
|---|---|
| Offered | The contract has been offered. New contract terms start here. |
| Accepted | The customer has accepted the contract. |
| Performed | The work is done. When you first enter an Actual completion date of today or earlier in the Work in progress report, an Offered or Accepted contract moves to Performed. |
| Discharged | The contract is paid in full. When the amount paid to date equals the net contract amount (the original value plus approved change orders), the contract moves to Discharged. A discharged contract leaves the Work in progress report. |
| Excluded | The contract is kept out of the Work in progress report. |
Change order statuses
A change order has one of six statuses: Pending, Accepted, Rejected, Scheduled, Completed or Contract Scope.
| Status | Where you set it | Approved? |
|---|---|---|
| Pending | Change orders tab or Billing tab | No |
| Accepted | Change orders tab or Billing tab | Yes |
| Rejected | Change orders tab or Billing tab | No |
| Scheduled | Billing tab only | Yes |
| Completed | Billing tab only | Yes |
| Contract Scope | Billing tab only | Yes |
On the Billing tab, you set the status in the Pending change orders table. You can't change the status of a change order that is already on a saved application for payment.
Approved change orders
An approved change order is one whose status is Accepted, Scheduled, Completed or Contract Scope. Only approved change orders add to the contract value and can be billed. "Approved" names this group of statuses, not a single status.
When a change order is approved, you can also fill in its Counterparty CO # and Date accepted.
Billing labels
These choices are set on the Terms tab. See Set up contract terms.
| Setting | Choices |
|---|---|
| Billing terms | Monthly progress billing, Billed upon completion, 50% deposit & balance upon completion |
| Payment terms | Due upon receipt, Net 15, Net 30, Net 45, Net 60, Paid when paid |
| Send via | Mail, Email |
| Change orders | Bill separately, Bill with contract |
The Billed column on the Change orders tab shows the application for payment a change order was billed on, such as App #3.
